Job Summary: The Accounts Receivable/Accounts Payable (AR/AP) Specialist is responsible for supporting the finance department by managing incoming and outgoing financial transactions, maintains detailed financial records, and provides essential support in daily accounting operations. The AR/AP Specialist works collaboratively with other departments, customers and vendors to resolve discrepancies and uphold company financial standards. This role is essential for optimizing cash flow and maintaining positive relationships with customers by managing billing and collections efficiently. The ideal candidate is organized, has excellent written and verbal communication skills, and is comfortable communicating with internal teams and external customers.
Key Responsibilities:
o Process, verify, and record invoices and payments (ACH, wire, check, credit cards) received from customers and reconcile customer accounts
o Reconcile accounts receivable ledger to ensure all payments are accounted for and properly posted
o Monitor customer accounts for delayed payments and follow up with reminders or collection efforts as needed
o Maintain up-to-date billing system and financial records related to accounts receivable
o Prepare and submit regular reports on accounts receivable status to management
o Resolve discrepancies and customer queries regarding invoices or payments
o Process accounts payable invoices, verify accuracy, obtain approvals, and ensure timely payments to vendors
o Respond to inquiries from vendors, customers, and internal staff regarding payments and account statuses
o Assist in month-end and year-end closing procedures, including generating reports and supporting audits and other accounting projects as assigned
Requirements/Qualifications:
o Previous experience in accounts receivable, accounts payable, or general accounting (typically 3 - 6 years)
o Proficiency in accounting software (such as QuickBooks, Sage Intacct, or similar and AR/payment processing platforms (such as ConnectBooster, Stripe Billing or similar)
o Strong attention to detail and accuracy in financial data entry and recordkeeping
o Excellent organizational, time management, and communication skills
o Ability to work independently and as part of a team in a fast-paced environment
o Basic understanding of accounting principles and financial processes
o High school diploma or equivalent required; associate’s degree in accounting or related field preferred
Working Conditions: The AR/AP Specialist typically works remotely during standard business hours. Occasional overtime may be required during peak periods, such as month-end or year-end close.
Reporting Structure: This position reports directly to the Corporate Controller and may collaborate with other accounting staff and departments as needed.
Salary Range: The US base salary range for this full-time position is $60,000 - $65,000. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
